Corporate Event Childcare in BC: Staffing a Family Day, Party, or Offsite

A company family day where the children are unmanaged is not a family day. It is an event parents leave early. Puffin staffs them across British Columbia.

Corporate event childcare is the same service as wedding childcare with a different set of planning problems, and the planning problems are the interesting part.

The three that actually recur

Your headcount is a guess. Wedding RSVPs firm up. Corporate ones do not — "bring the family" produces a number nobody can confirm until the morning. See below for how to handle that without either overpaying or being short.

You are not the parent. At a wedding the person booking knows the children. At a company event, an organiser is booking care for colleagues' children they have never met. That changes what information has to be collected, and when.

Liability sits with an employer. If your company arranges childcare and the caregiver is a self-employed sitter, the question of who carries insurance has an uncomfortable answer. Sizing it when the numbers are soft

Staffing is calculated from ages: an infant under 12 months counts 2 points, a toddler 12–35 months counts 1.5, a child 3 and over counts 1, and one nanny covers 4 points.

For a corporate booking, do this in two passes.

Pass one — the floor. Take confirmed attendees only, run the points, and book that. Four-hour minimum per day, $40/hr per nanny.

Pass two — the realistic case. The selector goes up to 10, and the recommended number is only a default. If your confirmed list staffs at two but you expect drift upward, booking three is a $160 difference on a four-hour event — usually less than the cost of the event being visibly under-staffed in front of the people you invited.

A worked example. A four-hour Saturday family day with twelve school-age children and two toddlers: 12 + 3 = 15 points, four nannies, 4 × 4 × $40 = $640. Add a fifth nanny for drift and it is $800.

Longer days, and the overtime line

Past eight hours in one day, the rate goes from $40 to $60 per hour, per nanny. Most corporate events do not reach it — a family day is rarely longer than six hours of actual childcare, even when the venue is booked for eight.

Where it does bite is an all-day offsite. Three nannies for a ten-hour day is 3 × (8 × $40 + 2 × $60) = $1,320, against $1,200 if the same ten hours were split across two days. The threshold resets each morning, so a two-day conference is priced more kindly than one very long day.

What to send the caregivers in advance

For a corporate booking, collect this from attending parents rather than assuming the organiser knows it:

The last one is the one corporate organisers most often skip and most often need. At a wedding, everyone knows whose child is whose. At a 200-person company event, they do not.

Practicalities

Minimum 24 hours' notice, no same-day booking. For a company event, book when the venue is booked.

Four-hour minimum per day, so a two-hour afternoon event still bills four hours.

A room, not a corner. Same as any event: children need somewhere that is not the main floor, and somebody at your venue has to say yes to it.

Your card is held, not charged. The booking is finalised with you before payment is taken.
